End-of-season function
The brief
A resources-sector client runs a large end-of-season function for its workforce: thousands of people across three consecutive nights, in a town where beds, crew and gear are all in short supply at exactly the time everyone else wants them too.
Internally, the event had been a scramble of separate vendors, each managed by a different person, with no single view of the budget or the risk. They wanted one operator who would own the whole thing, front to back, and give them one number to call.
ACE’s role
We built and held the budget, then sourced and contracted the full production: staging, audio, lighting, catering, bars, security and amenities, with as much as possible drawn from local suppliers to keep freight and travel down.
Crew were rostered across the three nights with proper breaks and a clear chain of command. Run sheets were written for every position, and safety and contractor supervision sat with ACE on the ground so the client’s own team could be guests at their own event rather than marshals.
Each night was called from front of house, reconciled the next morning, and rolled into a single wrap report at the end of the run.
The outcome
All three nights ran on schedule with no safety incidents and no vendor failures on the night. Consolidating suppliers under one operator took cost out of the build and removed the internal coordination load entirely. [Figures draft, confirm with Erin.]
The reconciliation came in on budget, with a report the client could hand up the line without needing to translate it. The function has been re-engaged for the following season.
